What makes a painting quote different

Most painting disputes are not about the color. They are about prep nobody wrote down, a second coat nobody priced, and who was buying the paint. The template puts all three on the page:

  • Rooms or surfaces and approximate square footage on the job block - the number every paint price starts from, in writing, so the quote and the walkthrough agree.
  • A surfaces-and-prep section above the line items. Patching, sanding, caulk, primer on bare drywall - list it, because prep is where the hours go and where a low quote loses money.
  • An item column for rooms, surfaces, prep, and materials, so "master bedroom walls, two coats" and "ceiling patch and prime" are separate visible prices.
  • Coats and paint supply in the terms - one or two coats, contractor-supplied or client-supplied paint, circled. The second coat is one of the most common pieces of unpaid work in the trade.
  • Deposit and signatures, because paint is a materials-heavy job and a deposit covers the order.

Pricing it

  1. Price per square foot of wall, per room, or per surface - and say which on the line. Our painting pricing guide carries 2026 benchmarks for interior, exterior, and cabinet work.
  2. Price prep on its own lines. A client who sees "repair nail pops and sand, 4 hrs" understands the total; one who sees a lump sum argues.
  3. Write the paint line as product, sheen, and gallons. It sets the quality expectation and protects you when they ask for the premium line later.
  4. Take the deposit before you order paint, not after.

When the walkthrough moves faster than the clipboard

Paint quotes die on the drive between the walkthrough and the desk. FastEstimateMaker lets you snap the rooms or speak the surfaces and get the priced, branded estimate ready to text before you leave the driveway - prep lines, paint line, deposit collected on signature.

Questions contractors ask

Should I quote painting by the square foot or by the room?

Either works if the estimate says which. Square-foot pricing scales cleanly and is easier to defend; per-room pricing reads simpler to homeowners. This template's job block records the square footage either way, so the number is traceable.

Who should supply the paint?

Contractor-supplied is the default in the trade because you control the product and the quantity, and you mark it up. If the client insists on supplying it, circle it on the template and add a note that coverage and touch-ups on client paint are not warranted.

How do I handle a second coat the client did not want to pay for?

Price it up front. The coats line in the terms exists so two coats is a written expectation, not a job-site negotiation - and dark-to-light color changes almost always need it.
