What is on the template

  • Invoice number, date, and a due date. "Due on receipt" is a wish; a written date is a term. Net 7 outperforms net 30 for small trade work.
  • A work-completed section. Two lines connecting the bill to the job as quoted - the fastest way to head off "what is this for?" calls.
  • Line items matching your estimate. Same table layout as our estimate template, so quote and bill read as the same document.
  • Amount paid and balance due. Shows the deposit you already collected and makes the remaining number unmissable.
  • Payment methods and a late-fee line. Cash, check, card, or transfer - and a written late fee, which you will rarely charge but which shortens the tail of slow payers.

Invoicing habits that shorten the wait

  1. Invoice the day the work finishes. Every day between completion and invoice adds days to payment.
  2. Carry the deposit forward visibly - a balance due that acknowledges what they already paid feels smaller and gets paid faster.
  3. Photograph the finished work and attach it. An invoice with proof attached rarely gets disputed.
  4. Follow up on day one past due, politely and in writing. The template's late-fee line does the arguing for you.

The part paper cannot do

A PDF cannot take the payment. FastEstimateMaker's invoicing sends the same document with a pay-by-card link, splits it into scheduled installments when you agreed to draws, and nudges slow payers automatically - and it syncs to QuickBooks or Wave so month-end stops being a data-entry night.

Questions contractors ask

Should I invoice before or after the work?

Bill the deposit from the signed estimate before work starts, and the balance the day you finish. This template shows both - the amount-paid row carries the deposit, the balance-due row is what is left.

What late fee can I charge?

Common practice is 1.5 to 2 percent per month, but state limits vary - write the number on the template line, and check your state's cap. The fee's job is mostly to exist.

How is this different from the estimate template?

The estimate proposes and collects a signature; the invoice bills and collects payment. Totals here show amount paid and balance due, and the acceptance block is replaced by payment methods.

Invoices that collect themselves

Send the same invoice with a payment link, automatic reminders, and QuickBooks or Wave sync - built from the estimate the client already signed.
