What makes an HVAC quote different

An HVAC visit ends in one of two documents: a repair with parts and refrigerant, or a replacement with equipment and a lead time. The estimate has to carry both cleanly, credit the diagnostic to whichever the client picks, and put the maintenance agreement in front of them while the system is open.

  • System type, tonnage, and age on the job block - the three facts that decide whether repair or replace is the honest recommendation.
  • A diagnosis section above the line items for what failed and what you recommend.
  • An item column for the diagnostic, repairs, parts, refrigerant, installs, and maintenance plans, so "capacitor" and "refrigerant, 3 lb" and "diagnostic" are separate visible prices.
  • Diagnostic fee, hourly rate, refrigerant per pound, and the maintenance agreement in the terms - the diagnostic credited to the repair, the agreement optional and priced per year.

  2. Price refrigerant per pound at a stated rate. It is the line clients question most, and a stated rate ends the conversation.
  3. Quote the maintenance agreement on every repair estimate, even as a line they cross out. It is the recurring revenue in the trade.
  4. On a replacement, name the equipment and the lead time on the page, and take the deposit before you order.

When the estimate should happen at the unit
